Job description: Classifies and reconciles funds received from Museum business operations (box office sales, retail sales, food and beverage sales, membership sales, and exhibition & programming event sales) on a daily, monthly and period basis. Identifies and reconciles discrepancies between daily receipts and POS sales summaries. Prepares and/or reviews and submits daily bank deposits. Processes Museum and retail purchases for transmission to and integration by the corporate offices, and processes bi-weekly payroll. Reports deposits to Museum Management and Malrite, daily. Assists with various human resource functions, including, maintaining the Museumâs Human Resource Information System (HRIS) - ADP.
Essential Responsibilities
include the following. Other duties may be assigned.
Finance/Accounting Function
Enter purchase orders into accounting systems and verify for accuracy; submit to Corporate Accounting twice, weekly.
Enter departmental change orders.
Process in-house charges.
Perform audit of in-house safes on a monthly basis.
Process expense reports in an accurate and timely manner and in accordance with departmental procedures.
Enter and process interdepartmental transfers on a period basis.
Book Period Close Entries including, labor entries in Accounting System on a period basis.
Input new employees into the HRIS and E-time systems.
Input banking deductions into the HRIS.
Input Exempt and Non-exempt Leave requests into HRIS, upon receipt.
Back up E-time system for bi-weekly payroll.
Create EPIP e-time file for payroll processing.
Human Resource Function
Perform customer service functions by answering employee requests and questions.
Communicate with co-workers, management, clients, franchisees, and others in a courteous and professional manner.
Maintain personnel files in compliance with applicable legal requirements.
Enter data into HRIS, ensuring the accuracy of information.
Maintain HRIS records and generate reports from database as needed.
Send new employee mailing according to internal protocols.
Order pre-employment tests for selected new employees.
Create personnel, employment, and payroll files for new employees.
Track, collect, and file all applicable documents in the personnel and payroll files for new employees.
Assist with new employee orientations/on-boarding and termination processes.
Process new hire, status change, and termination paperwork.
Verify I-9 documentation and maintain books, current.
Process and administer all leave of absence requests.
Keep employee records up-to-date by processing employee status changes in timely manner.
Process personnel action forms and verify proper approvals; disseminate approved forms.
File papers and documents into appropriate employee files.
Ensure compliance with COBRA guidelines by assisting with the preparation of letters and other paperwork as directed; receives and records incoming COBRA insurance premium payments.
Maintain Employee Handbook with updated resolutions and other pertinent information, as directed.
Make photocopies, fax and scan documents, and perform other clerical functions.
Take notes during meetings where department is represented and post the notes on Intranet, as needed.
Order supplies and perform miscellaneous duties for department.
And, other duties as assigned
Knowledge, Skills and Abilities Required:
Working knowledge of federal and state laws that govern various HR functions
Knowledge of typing, data-entry, and use of 10-key calculator
E-mail, word-processing, and spreadsheet competency
Must demonstrate bookkeeping skills
Demonstrated knowledge of POS system
Proficiency in or knowledge of using a variety of computer software applications, especially Excel and Microsoft Word software
Ability to work and interface with, technical, administrative personnel and all levels of management
Strong organizational skills with a keen ability to prioritize and multi-task
Ability to adhere to and meet deadlines
High level of interpersonal skills to handle sensitive and confidential situations and documentation; Ability to maintain a high level of confidentiality
Excellent communicator (oral and written) including the desire to ask questions and learn from co-workers.
Strong administrative and data management skills.
Ability to raise issues proactively and in a timely manner.
